Qualifications & experience
- Administrative work experience as an Executive Assistant, Personal Assistant or similar role
- Proven problem-solving skills
- Excellent grasp of Google Suite or similar
- Familiarity with Xero and basic bookkeeping
- Outstanding organisational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- University degree preferred
Tasks & responsibilities
- Managing the CEO’s diary including organising meetings, including scheduling, room bookings, sending reminders, and organising catering when necessary
- Manage incoming emails on behalf of the CEO and responding directly where appropriate
- Providing administrative support to the CEO e.g. writing and editing emails, drafting documents, presentations and preparing communications on their behalf
- Handle internal and external client queries appropriately, and maintain effective relations with key stakeholders
- Arrange travel, transport and accommodation for any members of the team as and when required
- Assist with client and board reporting, proposals, and ad hoc document production
- Monthly bookkeeping and financial reporting including the expense and invoice entry and reconciliation
- Manage Te Ōhaka facilities and supply arrangements
